Step-by-Step Scanning Instructions

Objectives:

Create a on-line digital archives of Impressions, the Washtenaw County Historical Society newsletter. Issues from 1975 to present are already on-line at the Impressions Digital Archive. Issues from 1943 to 1974 need to be digitized to complete the archive.

Equipment:

Impressions newsletters, computer and scanner are located in the Library on the second floor of the Museum on Main Street (500 North Main Street, Ann Arbor.)

Detailed Instructions:

Step 1: Turn on equipment.)

  1. Turn on PC.
  2. Turn on Scanner
  3. Turn on Monitor.

Step 2: Sign onto the computer and select the scanning software.

Click "WCHS Guest" Icon

Click on "HP Solution Center" to select scanning software.

Step 3: Select newsletters to be scanned.

  1. Impressions newsletters are in blue 3-ring binders organized by date.
  2. Individual newsletters are in plastic sheet protectors.
  3. Start with most recent issues and work backwards to 1943.

Step 4: Scan the newsletters.

  1. Open scanner cover and place single single page face down on glass as shown.
  2. close scanner cover.

  1. On PC screen, click "Scan Document" button. (don't use "Scan Picture!)
  2. Repeat "Scan Document" for each page.
  3. Click "Done" when finished with a issue. Files appear in folder.
  4. (Can use sheet feeder for issues that are separate, unfolded sheets.)

Step 5: Organize the scan files.

  1. Open scan folder by clicking on desktop shortcut: "wchs_impressions"
  2. Highlight the name of a scanned file.
  3. Rename the file as YEAR_MO_PAGE. Example: "1985_oct_01.tif"
  4. 4 digit years (1984, 1950, 1943...) ; standard 3-4 character month abbreviations (use lower case), (jan, feb, mar, apr, may, sept, oct, nov, dec); 2 digit page (01, 02, 03....).

Step 6: Quality control checks.

  1. Open scan folder.
  2. Open scan file by double-clicking on it.
  3. Verify the following:
  4. Re-scan if necessary. Delete defective images.

Step 7: Turn off Computer.

Technical

The scanner settings for this project have been saved and you shouldn't have to modify them. If you find the scans don't look correct, the problem may be the settings have been modified.

  1. What are you scanning? Document
  2. Grayscale
  3. 300 dpi
  4. Scan to: save to file
  5. file type: *tif (compressed)
